Pending Jobs: Without a Job Workflow

Welcome to the Odyssey Workflow ‘Shell’ Screen User Guide. This guide is designed to help you effectively manage print jobs through this interface. Each section below provides instructions and tips for utilizing different features and tools available on the Job Workflow Shell screen. 

The workflow ‘shell' is an Odyssey job that does not have an associated workflow path for the pending job. This allows any Odyssey job to quickly and easily be started, completed, or even invoiced without starting and completing the job.

 

Overview of a pending job's screen

A pending job's home screen is the central hub for all job management activities. Here we'll find essential details and actions for a particular pending job.

Key Components

  • Job Number and Name: Displayed prominently at the top, these identifiers help to quickly refer to and distinguish jobs.
  • Action Buttons:
    • Start Job: Click this to kick off moving the job from ‘Pending’ to ‘In Progress’
      • Once selected, the ‘Complete job’ button will be available to move this job to ‘Completed’
    • Invoice Job: Use this button to select all job(s) for an order to invoice them
  • Job Details:
    • Quantity: Shows the quantity being ordered
    • Selling Price and Cost: Lists the website selling pricing and the associated production costs.
    • Profit: Indicates the profit margin expected from the job.

Note: A job's cost and profit may be blank in a workflow shell if there is not a viable workflow path available for the job.

  • Status: Provides a quick visual on where the job stands in the production cycle related to the ‘Job Status’ from the website's Order Summary > Work in Progress > Status Updates tab.

Creating a Workflow Path

There is the option to create a new workflow path for the product the job came from.

Steps to Create a New Workflow Path

  1. Click the “Create new workflow path” button below the job details section.
  2. Fill out the workflow path name and select the printing technology to be used on the ‘Create your workflow path’ screen
  3. Select ‘Continue’
  4. Fill out/select the applicable conditions to be used for this workflow path
    1. Adding a Minimum and Maximum quantity is optional
  5. Select ‘Continue’
  6. Continue filling out the ‘Workflow path specs’ screen related to paper, color, the various parent and run size paper sizes, and if folding is an option
  7. Select ‘Continue’
  8. Select the processes to be used for this workflow path
  9. Select ‘Add processes’
  10.  Continue adding/editing necessary processes and calculations (as needed)
  11. Go back to Jobs > Pending and select the workflow icon for the job in which the workflow path was created for
  12.  Odyssey will now present more information below the ‘Job Name’ based on the created workflow path

Selecting an Existing Workflow Path

Selecting an existing workflow path can significantly streamline the production process.

How to Select

  1. Select from the list of existing workflow paths on the screen.
  2. Select the applicable answers for the job in the pop-up modal
  3. Adjust the job workflow as needed by selecting ‘Detach & edit’

Advantages

  • Speeds up the setup process by using proven, previously created workflow paths.
  • Maintains consistency and quality across similar jobs.

Job Information and Settings

  • Set Due Date: Choose a completion deadline for the job.
  • Shipping Information: Select the ‘ i ’ icon to review any shipping information that is present for the job from the Control Center.

Customer Information

  • Contact Information: Contains customer name and email for quick communication. This information is found in the upper-right of the pending job.

  • Chat: Select this icon to chat internally with other printshop employees or externally with the customer
  • Job Journal: Selecting this icon will provide details from the ‘Job Journal' tab of the Control Center
  • Notes: Review/add critical remarks or special instructions attached to the job.
  • Files: Download relevant files attached to the job.
  • Job Ticket: Select to download a job ticket outlining job specifics and requirements.
